Amplifi worked alongside the institution’s governance function, a team responsible for enterprise policy setting, corporate governance and data governance, who were asked to shape an AI policy that balanced innovation with accountability. The objective was clear: enable the use of AI while ensuring ethical conduct, alignment with business priorities, strong IT security, and adherence to corporate values and recognised best practice.

Solution: Creating practical AI governance

Amplifi supported the institute to develop its governance framework through a structured and collaborative approach. This involved examining good practice from peers, understanding key regulatory requirements and reviewing recognised industry frameworks to ensure alignment with external expectations.

Evolving policy terms were shaped by contributions from Governance, IT, Security, Legal and Risk teams, building shared ownership and cross-functional clarity from the outset. The team also explored real use cases to understand how the policy would operate in practice and where risks or exceptions might arise.

The resulting policy provided clear, practical guardrails for responsible AI use. It defined principles for ethical use, clarified roles and ownership structures, set expectations for risk assessment and addressed the handling of personal and sensitive data. It governed the use of external AI capabilities, prohibited high‑risk practices and required transparency about where and how AI was being used.

Operational reality was central to the design, where users had to be able to explain and justify AI‑generated outputs, whilst exceptions required clear approval routes. AI use in mission‑critical, time‑sensitive or automated scenarios was deliberately constrained to protect integrity and business outcomes.

Results: Enabling responsible AI innovation

Beyond compliance, the policy focused on operational reality. Crucially, this was not about inhibiting innovation. The governance framework was designed to support responsible experimentation, with clear principles, defined ownership, embedded risk management and a commitment to regular policy review that ensured it could evolve alongside technology.

The result was an AI governance approach that does not stifle progress but enables confident, responsible and useful innovation at speed.
